Volunteer Information




Effective the beginning of this school year, ALL VOLUNTEERS, new and VETERAN, are required to register online. All volunteer applications will be deleted on the last day of school. You MUST reapply annually. Additional details can be found here.







After reading the information below, please send your volunteer hours information to Julie Jones.

We have been asked by one of the VIPS officers and Mr. Leach to work on gathering the number of hours we volunteer on a monthly basis. We have a form that the Athletic Boosters use that we can easily adapt to fit our program. We must ask each of you to help track these numbers on an ongoing basis.  Our goal is to have each of us report at our monthly board meetings the hours for the previous month. These statistics are used for a variety of reasons that can assist the school and specific groups when it comes to things like applying for grants.
 
Please see below the email from Lana Shearer and make sure you have reported and continue to report your hours for your committee from August each year to the present.  We need to show a month by month breakdown.

Here is the district's policy on volunteer hours and why they track them.
 
"Volunteer hours are part of the summative data for a school.  This data becomes part of the overall evaluation for a school.  Program evaluation is the process of systematically determining the quality of a school program and how the program can be improved.  When the number of volunteer hours and areas of volunteer work are known, the school can determine its needs and set priorities.  The volunteers, their talents, and the amount of time given can influence program approaches, materials and equipment, schedules, and other structuring choices in order to build a program that has a high likelihood of student success."
  • Volunteer time is any time contributed toward the school's programs.  Such as:
  • Committee Meetings and preparation
  • All volunteer activities and (work completed at home)
  • Pro-Grad
  • Chaperoning (In-town and out of town)
  • Booster Club activities
  • Fundraisers
  • Working merchandise, ticketing and concessions
  • Newsletters
  • Record keeping
  • Take home work for parents (e.g., phone calls, paper work, etc.)


Chaperones

Welcome and thank you to the new band parents who have volunteered or are considering to be chaperones. Basically any time the band is transported to an event by bus, there needs to be at least one chaperone for each bus. For the first few football games in the fall we try to have 2 per bus until the chaperones and students know what to expect (mostly for the freshman). Here's how it works!! At the beginning of each week, the chaperone chairperson / coordinator will send an email to you if you have volunteered to let you know of the upcoming game or event of the week, including the load and bus departure times from the high school. If the date/time works out and you can chaperone that game, you simply email back that you can assist. We will need about 8 people total each time.  The coordinator will acknowledge your participation or will let you know if enough people have already signed up for that week. If by mid-week there are still openings or needs, a follow-up email will be sent. It's a simple process as you can see.

Once in place for a particular event here are a list of the duties and other things to be aware of as a chaperone:
  • The person in charge will check the bandhall w/directors to make sure the kids have all equipment and uniforms. 
  • Make sure the chaperones have a place to sit on the bus before the kids get on the bus. 
  • The busses do not leave the school until the directors give the go ahead. 
  • When arriving at the stadium you must wait for the directors to give permission for the kids to get off the bus. 
  • The loading crew will get off the bus first. All other members will wait. 
  • Chaperones wait at the busses until all the members are off the bus. 
  • Chaperones wait away from the kids and go into the stadium after the entire band marches in. This includes the drumline. Do not get in front of the band. 
  • Chaperones do not help with equipment. Unless you have been asked by the loading crew and the band directors.
  • Chaperones will look from a distance to make sure the band members uniforms are put on appropriatley. It is the sections leaders responsibility to make sure his/her section is ready. 
  • During the game we sit on the opposite side of the band from where the Angels sit. 
  • The person with the first aid kit needs to sit so the band director knows where you are. 
  • Someone can sit up near the top. It is important that the kids pay attention to the band director and not socialize with the kids walking up to the back of the band. 
  • When the band members go down to warm up, the chaperones stay in the stands. If they need you they will send someone for you. 
  • Before half time starts (when the members go out to warm up), the chaperones will put the water out. Put a tray on every other bleacher on both ends. We also provide water for the Angels. Their chaperones should come down and get their water. If they do not then just put it in their area where they sit. 
  • Sit back and enjoy the half time. Make sure the public does not help themselves to the water. 
  • After half time, let the band members come into the stands. Do not stand in the aisles and get the gauntlets and plumes. Do not get their gauntlets or plumes until they sit down. After all the members sit down you may ask them to pass down their gauntlets and plumes. 
  • After the game the members will get instructions from the band directors. Chaperones will wait and listen to the instructions. 
  • The kids will leave the stadium and board the busses. Chaperones will stay behind and pick up the trash and lost items. You may begin to pick up empty water bottles in the 4th quarter. 
  • Chaperones go back to the busses. Do not give the bus driver instructions to leave until you have the all clear from the directors. 
  • When you arrive back at the school check the empty busses for lost items. If you find lost items please take them to the band office.
Thanks again for your help in this important area. Like many other volunteer areas, we could not function as an organization and the kids could not participate in all these many activities without your help!
